Under general supervision, you will perform scanning tasks of hard-copy documents as needed and help convert or employ Optical Character Recognition (OCR) tasks on documents to create electronic versions for publication. You will capture images for publications, as needed, working closely with publication editors to complete tasks within specified deadlines. The Documents & Imaging Specialist will perform quality assurance for all PDFs for TaxNotes.com and make necessary changes. In this position, you will gain a detailed understanding of how documents move through the publishing process, from the initial intake and creation stage, through various workflow steps, and to their eventual publication.ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned to meet department objectives.
  • Performs scanning tasks and completes OCR requirements for all hard-copy documents to convert the documents into electronic format.
  • Proofreads documents and provides Quality Assurance for our online publications.
  • Manually converts documents created in various programs to PDF documents when automated programs fail.
  • Captures and performs quality control and troubleshooting on all images; uploads images to the CMS.
  • Collaborates with department managers and supervisors as needed or assigned.
  • Communicates with department staff as needed to meet established deadlines.
  • Ensures that department work assignments are completed in a timely fashion, while paying attention to the quality of work submitted for publication, according to established policies and procedures.
  • Performs research as necessary for any special projects assigned to the department and assists manager with the completion of projects.
KNOWLEDGE & SKILLS:
  • Familiarity with a variety of image formats
  • Flexibility in working across departments to assist in coding, projects, and meeting deadlines
  • Excellent written, oral, and interpersonal communication skills, including creative problem-solving skills
  • Self-motivated, well-organized, with good attention to detail

Requirements
  • Experience with scanning, OCR tasking, document conversion, and markup highly preferred, but not required
  • College degree in publishing, a related field or the equivalent experience highly preferred
  • At least one year of related experience in a deadline-oriented environment
  • Excellent computer skills, especially in word processing and/or HTML editing applications, as well as electronic databases, and Adobe Acrobat and Distiller programs
