- Act as the first point of contact for all Jackson Gore Village owners, delivering exceptional service and timely assistance.
- Assist owners with reservations, RCI exchanges, Space A requests, and restriction placements for maintenance or renovation work.
- Provide detailed guidance and support for ownership questions, including HOA policies, owner benefits, and amenity access.
- Assist owners with resales, coordinating with internal teams and third-party partners to ensure smooth and timely processes.
- Maintain a high level of confidentiality and professionalism in all interactions.
- Collaborate with the Property Manager and team to execute HOA projects and initiatives, ensuring alignment with operational goals.
- Assist with administrative tasks, including communication, scheduling, and documentation related to HOA board meetings, owner communications, and property management activities.
- Manage workflows for unit availability, scheduling, and restrictions to ensure operational efficiency.
- Support coordination of vendor services, repairs, and owner service requests, escalating urgent matters as needed.
- Maintain accurate owner records, reservations, and service documentation within HOA management systems.
- Communicate regularly with maintenance, housekeeping, and front desk teams to ensure owner needs are met promptly.
- Assist with the coordination of larger projects, including renovations, capital improvements, or HOA-driven upgrades.
- Provide administrative support for policy enforcement, owner communications, and compliance initiatives.
- Hospitality or Customer Service strongly preferred; HOA or condo management experience is a plus.
- Strong organizational skills and attention to detail with the ability to manage multiple priorities simultaneously.
- Exceptional interpersonal, verbal, and written communication skills.
- Proficient in reservation systems, scheduling software, and Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain confidentiality and demonstrate discretion when handling sensitive owner information.
- Professional demeanor, strong problem-solving skills, and commitment to teamwork.
- Flexibility to work varying hours, including weekends, holidays, or extended shifts during peak seasons (with approval from the Property Manager).
