- Develop strong relationships with each member, engaging them into the community, encouraging member participation in the co-op.
- Respond in a timely and thorough manner to address all resident requests, verbally or in writing.
- Orient new members to the residential side of the cooperative, building, grounds, systems, financials and amenities.
- Partner with Community Engagement Manager and assigned co-op boards to orient new members to the operations, responsibilities, and functions of a residential cooperative; assist in recruiting members to join the co-op board.
- Assist Community Engagement Manager with planning, coordinating, implementing, and attending co-op social events and activities.
- Leasing Activities
- Process all applications including new applicants, add-ons, transfers, roommate changes and subleases as applicable per assigned properties.
- Assist in the coordination and processing of all member renewals throughout the year, compiling routine reports, communicating with members renewal dates and applicable fee increases.
- Administer Section 8 compliance requirements, subsidies, recordkeeping, reporting, inspections, communication, etc.
- Maintain accurate and organized application-related records using established procedures.
- Assure that member screening is done in accordance with selection criteria and legal requirements.
- Provide backup in leasing activities, including showing apartments.
- Financial and Recordkeeping
- Receive, enter and deposit rents, security deposits and other financial transactions; prepare deposits using established procedures.
- Prepare security deposit returns, documenting accordingly.
- Ensure all member rents and fees are paid in a timely manner, holding members accountable through standard communication and collection efforts.
- Work with residents to receive payment in the most efficient manner, establishing payment plans and turning over accounts to collections.
- Oversee outside agency’s filing of legal documents for housing court.
- Attend housing court as agent regarding evictions.
- Report member rent status to Director of Housing and Member Services mid-month, including collection activities.
- Prepare complete, accurate and timely reports for internal and external monitoring agencies, including the co-op and Riverton boards, city and county agencies, and bond trustees.
- Assure accurate and organized recordkeeping, including applications, leases, and other tenant file information.
- Assist with development of annual operating budget as applicable for assigned properties with RCH leadership. Track expenditures on an on-going basis to ensure budget parameters are met.
- Promptly administer all form changes and updates.
- Building Management
- Perform building rounds and or walk-in hours weekly per assigned property.
- Observe and report any building conditions that need attention.
- Ensure smooth turnovers, coordination member move-ins, move-outs and related unit inspections.
- Receive and input requested work orders from members as back-up to standard protocol including communication with members for maintenance related concerns.
- Capital improvements
- Provide management team with input for long-range capital planning.
- Assist with developing and monitoring budget for capital improvements.
- Assist with project management for larger maintenance projects.
- Annual inspections
- Perform annual inspections of member units with Facilities team to ensure Riverton’s standards of cleanliness, sanitation, pests, etc. are met
- Record pass/fail status of each standard, taking pictures as appropriate.
- Oversee the determination of appropriate charges and communicate charges and/or results of the inspection to members.
- Follow up with members after annual inspections to ensure member responsibilities were met; initiate resolution, fees or other actions as appropriate.
- Inspect vacated apartments and assess cleaning charges.
- General Administrative Duties
- Respond in a timely and thorough manner to address all resident requests, verbally or in writing.
- Assure adequate supplies of property management forms and office supplies.
- Answer phones and perform general reception duties.
- Perform general office administrative duties including making copies, scanning documents, sorting mail, maintaining the office, etc.
- Program fob access, prepare keys, monitor camera software programs, program resident intercom code listings and updates as needed.
- Develop and monitor pest control system with vendor, depending on assigned property.
- Perform administrative tasks, special projects and other related activities as requested by the Executive Director and/or the Director of Housing and Member Services.
- Undergraduate degree in related field preferred
- 2 years residential property management or related experience preferred
- Previous bookkeeping/administrative/customer service experience
- Must be fluent in English and possess excellent written and verbal communication skills
- Proficient in all Microsoft programs including word processing (Word), spreadsheets (Excel), and email (Outlook) computer applications. Must be able to become proficient in property management software. Able to assist other staff and members in effectively using software applications.
- Able to create attractive written and electronic publications for present and future residents.
- Strong general office and organizational skills, including setting up and maintaining operational systems to support the organization.
- Detail-oriented and able to meet deadlines.
- Able to manage multiple tasks and projects simultaneously.
- Experience with office equipment, including copiers, fax machines, scanners, and telephone systems. Able to perform minor troubleshooting, select and communicate effectively with related service vendors.
- Excellent interpersonal communication skills and relationship building skills to effectively work with a variety of people and personalities. Able to communicate clearly in person and in writing.

- Physical ability to move inside and outside of all parts of Riverton’s residential buildings and grounds on varied terrain, climbing indoor and outdoor stairs, in all MN weather conditions on a regular basis.
- The regular working hours of the Community Manager will be decided by the Director of Housing and Member Services. This work schedule may be adjusted to require regular work hours on some weekends.
- Incumbent must be able to use multi-line telephone, calculator, copiers, scanners, computers, and other office equipment
- Incumbent must be able to drive a personal vehicle, possess a valid driver’s license and up-to-date insurance coverage, in order to drive to properties, community meetings, activities and events
- Incumbent primarily works in an indoor office setting. Incumbent must be able to go outside in all MN weather conditions and varying temperatures to visit properties, attend off-site meetings and events.
