Job SummaryThe incumbent provides a range of administrative, installation, purchasing, and scheduling duties. These duties primary revolves around supporting and providing for the Department of Psychiatry's employees and trainees. Administrative duties range from preparing committee documents, and annual reports, independently composing general correspondence and reports. Other administrative duties include coordinate space planning, moves, and renovations. Installation of Information Technology equipment such as desktop computers, laptops, monitors and their accompany peripherals will be a regular weekly occurrence. Other installation will include office furniture and signage. A basic knowledge of purchasing office supplies and electronics is required. Scheduling and logistics management will be a cornerstone of this position.   • Bachelor's degree in related area and minimum one year of experience / or equivalent experience / training.
  • Demonstrated excellence in supporting committees, writing minutes, and analyzing reports, with a minimum of 1 year experience.
  • Demonstrated advanced skill set in judgment, analytical assessment, presentation, project management, decision-making, and effective communication to proficiently manage multiple projects simultaneously in a large, complex and matrixed organization.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff, both verbally and in writing.
  • Demonstrated excellent interpersonal skills. Demonstrated ability to work effectively and collaboratively with and represent an executive to a wide range of constituencies.
  • Ability to use discretion and maintain confidentiality.
  • Demonstrated mastery of Microsoft Office tools and Adobe Acrobat. Working knowledge of graphic software tools. Demonstrated proficiency in web-based meeting and survey programs such as Eventbrite, Doodle, and Qualtrics. Demonstrated ability to perform advanced online searches. Demonstrated ability to learn new computer skills and programs quickly.
