- Manage referral intake, inbox and triage clinical service requests.
- Collaborate with clinical consultants on special projects and client engagement
- Maintain clinical team referral tracking logs
- Assist team with gathering documentation, medical records, and/or background information for complex case reviews
- Review and format various reports to identify potential ongoing risk.
- Participate in meetings, as needed, to address client questions and support clinical service delivery
- Coordinate with vendor network partners to facilitate referral placements, ensuring timely communication and alignment with client needs and service timelines
- Communicate with vendor partners to facilitate case updates, ensure service timelines are met and document outcomes in internal documentation systems.
- Assist with special projects, data gathering, and ad-hoc reporting requests
- Organize and maintain team resource libraries, SOPs, templates, and reference materials.
- Ability to consistently meet deadlines
- Act and respond with a sense of urgency
- Perform other duties as assigned to support the clinical team’s success
- Must be proficient in Microsoft programs including but not limited to Excel, Outlook and Word. Must be able to learn other software programs required by the department.
- Associate or bachelor’s degree in business, or related field preferred
- 2+ years of experience in administrative support roles, preferably in a healthcare or insurance setting
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines
- Excellent written and verbal communication skills to interact professionally with internal teams, clients and vendors.
- Comfortable working in a fast-paced environment, supporting multiple team members
- Experience managing shared inboxes, tracking logs, and follow-up workflows
- Detail-oriented with strong data entry and documentation skills
- Familiarity with healthcare terminology, claims workflows, or billing processes
- Experience supporting clinical teams, case management, or provider networks
- Prior exposure to reinsurance, stop-loss, or healthcare payer operations
- Prior experience working with transplant vendors
- Experience working with healthcare documentation systems (e.g., ShareFile, or similar tools)
- Prior exposure to reinsurance, stop-loss, or healthcare payer operations
- Knowledge of medical billing codes (ICD-10, CPT, HCPCS, DRGs)
