Position SummaryPurchasing Specialist
Facilities Management
Full-TimePrimary Responsibilities:
  • Process requisitions and purchase orders for all departmental purchases
  • Maintain documentation for all purchases of supplies, materials, and services for the department
  • Complete purchasing credit card payments to appropriate vendors
  • Communicate with Vendors and Purchasing Department to resolve issues regarding purchase orders and/or procurement card transactions
  • Track all General Operations Procurement card transactions and reconcile procurement card statements each month
  • Reconcile purchasing card transactions for all stores purchases
  • Review Finished Work Orders weekly, confirming all receivers, invoices, and all accounting transactions are posted to the work order
  • Track annual blanket POs and supply contracts
  • Assist with program upgrades, testing, and implementation
  • Assist with Fixed Asset Inventory
  • Assist with Fiscal Year End Reporting
  • Produce Ad-Hoc purchasing reports as needed
  • Support and backup both the Accounting Assistant and the Assistant Director of FM Budget and Accounting as needed; providing clerical and accounting assistance as needed and/or directed
Required Qualifications
  • High school diploma or GED
  • Possess and maintain a valid driver's license
  • Knowledge of purchasing procedures, methods, and terminology, including but not limited to purchase requisitions, purchase orders, and procurement card functions
  • Experience in reconciling bank statements, account transactions, or procurement cards. Experience in accounting is a plus.
  • Proficient computer skills and experience, including Microsoft Office software
  • Strong math skills and ability to analyze, verify, and reconcile data
  • Demonstrated organizational skills and strong attention to detail
  • Excellent verbal and written communication skills
  • Ability to work with minimal supervision
  • Demonstrated ability to handle multiple tasks with frequent interruptions
  • Demonstrated understanding of and commitment to customer service
