
Event Coordinator & Bookkeeper

- Set up registration sheets and maintain accurate attendee records for all Passionist retreat events.
- Communicate regularly with event captains responsible for recruiting retreatants, offering support and updates as needed.
- Collaborate with retreat center staff to ensure thorough event preparations, including:
- Registering retreatants and tracking registration status.
- Coordinating room setup to meet the needs of each event.
- Working directly with kitchen to communicate special meals, and schedules.
- Coordinating with the Ministry Team to support successful retreat programming.
- Reporting: running operational and financial reports
- Process deposits for checks, cash, and credit card payments related to events and donations.
- Maintain accurate financial records for event income.
- Work in collaboration with staff to reconcile accounts and support financial reporting needs.
- Support the overall mission of St. Paul of the Cross Passionist Retreat Center through timely and professional administrative tasks, assisting visitors, working with teammates.
- Assist with other duties as assigned to ensure the excellence of our Retreat Center.
- The position can be part-time up to full-time, up to 40 hours per week.
- The schedule is Monday through Thursday 8:30am to 5PM and Friday noon to 7PM

- Proficiency in basic computer applications (word processing, spreadsheets, email)
- Strong organizational and communication skills
- Attention to detail and commitment to accurate record-keeping
- Ability to work collaboratively with staff, volunteers, and ministry teams
- Demonstrated integrity and discretion with sensitive information
- Experience in an office environment
- Proven experience in event coordination and/or bookkeeping, preferably in a non-profit or faith-based environment
- Experience with Customer Relationship Management database programs
- College coursework especially in accounting, hospitality, business, or computers.
