We invite applications for a organized individual to join our team as an Event Coordinator & Bookkeeper at St. Paul of the Cross Passionist Retreat Center. This role is designed for someone who excels at managing both the logistical and financial aspects of retreat events, ensuring an atmosphere of hospitality and smooth operations for all participants.Key ResponsibilitiesEvent Coordination:
  • Set up registration sheets and maintain accurate attendee records for all Passionist retreat events.
  • Communicate regularly with event captains responsible for recruiting retreatants, offering support and updates as needed.
  • Collaborate with retreat center staff to ensure thorough event preparations, including:
  • Registering retreatants and tracking registration status.
  • Coordinating room setup to meet the needs of each event.
  • Working directly with kitchen to communicate special meals, and schedules.
  • Coordinating with the Ministry Team to support successful retreat programming.
  • Reporting: running operational and financial reports
Bookkeeping:
  • Process deposits for checks, cash, and credit card payments related to events and donations.
  • Maintain accurate financial records for event income.
  • Work in collaboration with staff to reconcile accounts and support financial reporting needs.
General Administration:
  • Support the overall mission of St. Paul of the Cross Passionist Retreat Center through timely and professional administrative tasks, assisting visitors, working with teammates.
  • Assist with other duties as assigned to ensure the excellence of our Retreat Center.
Position Details
  • The position can be part-time up to full-time, up to 40 hours per week.
  • The schedule is Monday through Thursday 8:30am to 5PM and Friday noon to 7PM
  • St Paul's offers sick time, PTO, generous paid holidays and a great team environment.
  • Health and dental coverage too depending on the number of hours worked on average.
Required Qualifications
  • Proficiency in basic computer applications (word processing, spreadsheets, email)
  • Strong organizational and communication skills
  • Attention to detail and commitment to accurate record-keeping
  • Ability to work collaboratively with staff, volunteers, and ministry teams
  • Demonstrated integrity and discretion with sensitive information
  • Experience in an office environment
Desired Qualifications
  • Proven experience in event coordination and/or bookkeeping, preferably in a non-profit or faith-based environment
  • Experience with Customer Relationship Management database programs
  • College coursework especially in accounting, hospitality, business, or computers.
