SUMMARY OF POSITION: The Wellness Center Front Office Coordinator serves as a professional, responsive, and caring front-line presence for the Wellness Center. This position is responsible for the non-clinical aspects of day-to-day operations at the Wellness Center, including scheduling appointments, maintaining patient records, and managing the Center's budget. The Front Office Coordinator also plays a crucial role in developing, coordinating, and implementing educational and outreach programming.ESSENTIAL DUTIES/ NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:Administrative Responsibilities (55%)
  • Provide administrative support to all of the Center's providers
  • Manage and coordinate the schedules of the Center's providers utilizing the EMRs Titanium and Epic
  • Perform data entry and processing
  • Oversee and manage budget for all aspects of the Center, including monitoring the budget, processing patient payments, arranging for payment for all office bills, reconciling account information, and making deposits
  • Collect, organize, maintain, and manage mental health and medical records in accordance with state and federal guidelines
  • Maintain compliance with medical and educational privacy laws and current ethical standards of practice
  • Assist in initiating and implementing crisis management protocol during medical and mental health emergencies
  • Supervise, mentor, and coordinate duties for student workers and graduate assistants assigned to the Center
  • Establish and nurture positive relationships with students, faculty, and staff
  • Monitor the overall appearance and day-to-day functioning of the Center
  • Actively participate in departmental meetings
Programming Responsibilities (35%)
  • Plan and implement (with the Director and nurse practitioner) health services events such as flu shot and TB testing clinics
  • In collaboration with the Wellness Center team, develop, coordinate, and implement educational programming in support of medical and mental health awareness activities, educational programs, and speakers, such as Stress Fest
  • Develop marketing/advertising for programming
  • Solicit donations from community donors
  • Collaborate and communicate with other departments and organizations who co-sponsor programs
Student Enrollment Responsibilities (10%)
  • Ensure compliance with new student immunization records
  • Review student immunization records for accuracy, in consultation with the nurse practitioner as needed
  • Communicate with new students and their families regarding student health requirements
General Responsibilities (as needed)
  • Participate actively as a team member of the Division of Student Development and Success
  • Participate in campus/division committees as needed
  • All other duties as needed to ensure the success of students, staff, faculty, and the College
JOB QUALIFICATIONS:Minimum qualifications: High school diploma; 3-5 years of experience in higher education and/or health care fieldsPreferred Qualifications: Bachelor's degree preferredKnowledge/Skills/Abilities:
  • Understanding of and ability to apply standards of HIPAA, FERPA, and state privacy laws
  • Understanding of front office operations, including reception/registration and scheduling
  • Knowledge of bookkeeping, data, and administrative processes and principles
  • Strong customer service orientation
  • Ability to adapt to a changing environment and handle multiple priorities
  • Strong written and oral communication skills
  • Excellent organizational and time-management skills
  • Ability to be self-motivated and take initiative

GUIDELINES AND SUPERVISION: The Front Office Coordinator reports to the Director of Counseling and Wellness. This position normally receives little instruction on day-to-day work and receives general instructions on new assignments. Decisions requiring clinical knowledge are made in consultation with the Center's medical and/or mental health clinicians.Work Schedule: 8:00-5:00 Monday – Thursday; 8:00-1:00 PM Fridays.
