- Manage vendor relationships for our Nashville office, including track and manage service agreements and invoicing and payments for vendors
- Order and manage food/snacks and ensure kitchens and common areas are well-stocked and tidy
- Oversee office maintenance and respond to day-to-day facilities issues
- Coordinate new hire laptop shipments, badge creation, and access provisioning
- Manage visitor check-in process and coordinate with building security as needed
- Facilitate deliveries, manage physical mail, and oversee our online PO box mailbox
- Plan and execute in-office events (e.g., team meals, celebrations, volunteer days, affinity group events) that promote collaboration and our in-office first culture
- Curate thoughtful employee experiences through team-building events, milestone celebrations, and initiatives that promote connection and belonging
- Own event logistics including catering, space setup, and vendor coordination
- Lead and facilitate the new hire onboarding experience, from offer acceptance through their first week at Pilot, ensuring a smooth integration and positive employee experience
- Maintain employee records and HR systems, including content on the company intranet
- Respond to employee inquiries regarding policies, procedures, and general HR topics in a timely and professional manner
- Support the People team with additional tasks, ad-hoc projects, and initiatives as needed
- 2+ years of experience in office management, people operations, reception, or similar roles
- Human Resource experience or an interest in growing your career in the HR field is a strong plus
- Highly detail orientated with excellent organizational and multitasking skills with a proactive mindset
- Can-do attitude and initiative
- Friendly, professional demeanor and passion for creating positive experiences
- Strong written and verbal communication skills
- Comfortable working independently in a fast-paced environment
- Motivated, eager to learn, and excited to take ownership of a wide range of responsibilities
- Experience using tools such as Google Workspace and familiarity with HR systems or intranet platforms is a plus
