The Tools Account Manager will lead the development, implementation, and ongoing management of Hays Electrical Services’ internal tool rental program. This role will be responsible for building the program from the ground up, using Tenna as the centralized tool tracking software and fully integrating it with Vista ERP to ensure seamless financial reporting. The position is focused on building scalable processes for tool allocation, billing, and reporting across all electrical construction projects—ultimately establishing an in-house rental program comparable to an external provider such as United Rentals.Key Responsibilities:Program Development & Implementation
- Lead the design, buildout, and launch of the company’s internal tool rental program.
- Implement Tenna software to manage all tool tracking, allocation, and cost distribution.
- Work with IT and Accounting teams to ensure Tenna is fully integrated with Vista ERP, enabling automated financial flows.
- Develop company-wide standards for tool rentals, including policies, pricing models, and usage reporting.
- Establish training programs for project teams, warehouse staff, and office personnel on tool rental processes.
- Ensure all tool charges flow directly into Vista ERP cost codes for accurate project billing.
- Maintain alignment between tool usage and project budgets across all active jobs.
- Generate monthly Work-in-Progress (WIP) reports reflecting tool costs, ensuring Project Managers and Superintendents have visibility during financial review meetings.
- Support year-end reporting by reconciling all tool-related financials within Vista for company-wide financial audits and projections.
- Act as the primary administrator for Tenna, ensuring accuracy of all tool records, allocations, and cost entries.
- Coordinate with the Tool Technician, who manages physical service and repairs, by facilitating service tickets and status tracking through Tenna.
- Partner with Project Managers and Superintendents to forecast upcoming project tool needs, aligning supply with demand.
- Monitor utilization, turnover, and ROI of tools to guide future purchasing and rental strategy.
- Regularly evaluate the effectiveness of tool rental policies and procedures, identifying opportunities for process improvements.
- Benchmark performance against industry rental models to ensure Hays’ program remains competitive and efficient.
- Support leadership in long-term planning by providing data-driven recommendations for expansion, investment, and cost savings.
- Experience in program or account management within the construction industry (electrical strongly preferred).
- Proven ability to implement or manage software platforms; experience with Tenna and/or Vista ERP highly valued.
- Strong understanding of construction project financials, including WIP reporting and cost tracking.
- Excellent organizational, problem-solving, and analytical skills.
- Effective communicator with the ability to coordinate between field operations, accounting, and warehouse teams.
