- 35%- Receive and access biological specimens (animal, human, and non-primate) submitted daily for testing at the LADDL. Includes unpacking, accurately identifying and labeling specimens, assigning accession numbers, completing relevant paperwork and worksheets for specimens submitted, assigning samples to the appropriate laboratory unit and/or pathologist for testing, and packaging and shipping referrals specimens to outside laboratories. Accurately document any submissions lacking required documentation and all problem cases (i.e., damaged or incomplete submissions) appropriately. Places call to clients to verify information, if necessary.
- Properly prepare and store excess specimen samples at appropriate temperatures (i.e., refrigerate and freeze). Discard trash and packages in biohazard containers for proper disposal. The incumbent is responsible for receiving and distributing reagents, supplying orders to appropriate laboratory sections, making copies of packing slips for laboratory sections, and providing original packing slips to the business office coordinator. It is required to update the internal ordering tracking spreadsheet as items are received in LADDL and must report to the business office coordinator for any ordering discrepancies. Responsible for receiving, reporting, and inputting results from numerous referral laboratories.
- Functions as one of the initial contacts for clients, ascertains their needs, and directs them to appropriate lab sections. Receive animals for cremation, process paperwork, and make sure cremains are shipped to the owners on time; Coordinate the maintenance of medical records using the Lab's Information Management System (LIMS [USALIMS]), which includes participation in the processing of the medical records as to the recording, indexing, and filing of these records. Responsible for receiving, reporting, and inputting results from numerous referral laboratories and some LADDL sections. Accuracy of these tasks is paramount since these medical records are, on occasion, used to resolve legal matters.
- Respond to inquiries from the veterinary community by phone, e-mail, and in-person regarding the lab's sample submission and testing capabilities. Transfer questions to appropriate personnel as needed. Maintain training requirements for operations, safety, and biosafety to prevent accidental infection, contamination or spread of infection, or errors that will notify testing results.
- 25%- The incumbent will be responsible for creating content, posting, and growing our following on our main social media platforms (e.g., Facebook, Twitter, Instagram), as well as creating original content for the LADDL website. Promote LADDL cremation service through advertising. Also, the incumbent is responsible for maintaining the LADDL calendar (MS Outlook), creating and maintaining an electronic reservation system for the LADDL auditorium, and ensuring the PC and audiovisual system are working for presentations. Implement and maintain configurations in the laboratory information management software (LIMS) to support laboratory and testing needs and HL7 messaging. Submit IT tickets, follow up on them, and ensure work is completed promptly.
- 25%- Receive credit card payments and work with the billing coordinator to finalize financial transactions. Responsible for monthly LADDL invoice preparation for internal and external clients, distribution of monthly invoices to clients, maintaining aged receivables, and submitting past due accounts to collections. Apply FedEx charges to clients' accounts, Pay FedEx Bills, and track other courier service accounts. Collect and post payments to the Laboratory's Information Management System (LIMS). Provides the deposits (i.e., checks, cash, and credit card transactions) and documentation for these deposits and monthly accounts receivables to the Vet Med Business Office Coordinator/Coordinator for Departmental Transmittals to be prepared and brought to the Bursar's Office
- 15%- Monitor and report on the LADDL’s inventory. Organize and coordinate meetings with VTH and departments. Reviews specimen requisitions against data entry of information for accuracy, documents errors, corrects errors and escalates to quality manager/coordinator based on necessity. Perform other duties assigned by the LADDL Director, Assistant Director, and Veterinary Laboratory Diagnostician. Quality Assurance Manager/Coordinator, or Business Office Manager: This will include cross-training to assist other sections in times of excessive caseload or absence. Prepare Standard Operating Procedures (SOPs) and compliance with the LADDL Quality Assurance Program.
