- Prioritize conflicting needs and handle matters expeditiously and proactively, often under deadline pressures.
- Provide administrative support to the operations team as required.
- Establish and maintain consistency and continuity in record-keeping, including both physical and electronic filing systems.
- Assist Project Managers with various activities, such as managing bid files, submitting bids, securing bid bonds and certificates of insurance, setting up new jobs in the ERP system, completing pre-qualification questionnaires, logging hours for subcontractors, and reporting hours or incidents on the ISNetworld site.
- Support the development and tracking of change orders and project closeout forms.
- Maintain customer-required data, including diverse spend, project rosters, safety data, and key performance indicators.
- Assist Project Managers with the preparation and submission of safety plans.
- Track, validate, and organize project costs to support work in progress.
- Work with clients to troubleshoot jobs or services dispatched through required platforms.
- Upload dispatched jobs or services to internal project teams using necessary platforms.
- Collaborate with field personnel and project teams to maximize data integrity.
- Troubleshoot data inaccuracies, such as payroll discrepancies.
- Proficiency in project coordination, particularly in construction and distribution systems.
- Experience in telecom, project management, and construction administration.
- Ability to schedule meetings effectively.
- Associate's degree or an equivalent combination of education, training, and experience.
- Proficiency in MS Office, including Word, PowerPoint, and Excel.
- High levels of discretion and judgment in interpersonal and business matters.
- Strong organizational skills with the ability to prioritize and perform multiple tasks.
- Excellent interpersonal skills and the ability to build relationships with stakeholders, including internal staff and external professionals.
- Strong written and verbal communication skills.
- Resourceful team-player with the ability to work independently.
- Proven ability to handle confidential information with discretion.
