Accounts Payable SpecialistAbout the OrganizationOur client is a mission-driven nonprofit delivering programs that make a real impact in the community. You’ll join a collaborative, values-first team that cares about accuracy, accountability, and service.The RoleWe’re seeking an Accounts Payable Specialist to own full-cycle AP—intake through payment—while ensuring proper coding to programs, grants, and fund/class dimensions. You’ll partner closely with program staff and vendors, keep our records audit-ready, and help improve AP processes as the organization grows.Key ResponsibilitiesManage full-cycle AP: intake, 2-/3-way match to POs/receipts, coding (program/grant/class), approvals, and payment (ACH/check).Maintain vendor master data; collect W-9s, monitor COIs, and ensure compliance with policies.Reconcile AP subledger to the GL; research and resolve discrepancies and aged items.Process employee expense reports and corporate card statements; enforce policy and receipts.Prepare 1099-NEC/MISC year-end files; support audit PBCs and documentation requests.Track grant-related costs and assist with spending reports as needed.Support month-end close (accruals, prepaids) and contribute to process improvements.Qualifications2–4+ years of accounts payable experience; nonprofit exposure strongly preferred.Working knowledge of fund/grant accounting concepts (program, grant, class, restriction).Proficiency with accounting/ERP systems (e.g., Sage Intacct, NetSuite, QuickBooks) and Bill.com; strong Excel (lookups, pivots).Detail-oriented, organized, and service-minded; able to communicate clearly with vendors and program teams.Familiarity with 1099 reporting, W-9 collection, and internal control best practices.Nice to HaveExperience with expense tools (Expensify/Concur/Ramp/Divvy).Prior audit support and grant reporting exposure.Basic understanding of sales/use tax exemptions and procurement policies.
