Job Title: Administrative Coordinator

Work Type: On-siteJob SummaryThe Administrative Coordinator is responsible for overseeing administrative and office service activities such as purchasing, payroll, records management, and human resources support for a department or division. This role includes supervising 1–2 administrative staff and reporting directly to a senior executive or division head.Key Duties & ResponsibilitiesRespond to inquiries and direct them to the appropriate department or individual.Assist with monitoring budgets and grant allocations; prepare financial documents for review and approval.Initiate and process HR and payroll transactions; manage weekly payroll submissions and coordinate with HR/payroll teams.Manage office supply inventory, requisitions, vendor negotiations, and contract renewals.Plan and support logistics for meetings, forums, seminars, and events, including preparing informational materials and minutes.Create, update, and distribute flyers, brochures, and mailings.Research, compile, and prepare data for reports, computations, and statistical analysis.Review documents for accuracy and completeness before submission.Support leadership with grant applications, special projects, and survey preparations.Mentor, train, and onboard new administrative staff; supervise performance and assign tasks.Coordinate office support coverage, set deadlines, and manage workload distribution.Perform additional administrative duties as assigned.Required Skills & CompetenciesExperience: Minimum 5 years of administrative or business experience; supervisory experience preferred.Technical Skills: Proficiency in Microsoft Office Suite (Intermediate level).Core Competencies:Adaptability and applied learningStrong customer focus and collaboration skillsClear and effective communicationTeam contribution and decision-making abilityProactive problem-solving and initiativeTime management and organizational skillsQuality orientation with strong attention to detailEducationBachelor’s Degree or equivalent combination of education and experience.For more details contact at vgill@navitassols.com/516-862-1203
