Gifts and Records Coordinator

- Accurately record and maintain all charitable gifts received by the organization, including cash/check, stock, in-kind donations, planned gifts, and grants.
- Ensure timely processing of gifts and adherence to established protocols.
- Collaborate with relevant departments to reconcile gift data and resolve discrepancies.
- Maintain comprehensive and up-to-date donor and prospect records in the organization's database.
- Ensure consistency, accuracy, and completeness of donor information.
- Regularly update donor profiles and gift histories.
- Maintains the integrity of business systems related to gift processing and donor management.
- Assist in implementing and enforcing data management policies and procedures.
- Identify opportunities for process improvements and contribute to system
- Generate accurate reports on gift activity, donor trends, and fundraising performance as needed.
- Conduct data analysis to support strategic decision-making and fundraising efforts.
- Coordinate with the accounting team to finalize the closing of books at the end of the month, including reviewing bank statements together and ensuring all gifts have been entered into FRNow accurately.
- Provide training and support to staff members involved in gift processing to ensure consistency and accuracy in data entry.
- Develop training materials and documentation to facilitate knowledge transfer.
- Collaborate effectively with colleagues across all departments.
- Provide support to fundraising initiatives and special projects as required.

- A minimum of 2 years experience in data entry, database management, and/or gift processing within a nonprofit environment.
- Proficiency in using CRM/database software (e.g., Salesforce, Raiser's Edge, FRnow) and Microsoft Office Suite.
- Strong organizational skills with exceptional attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Commitment to maintaining confidentiality and discretion with sensitive donor information.
- College degree.
- Knowledge of accounting principles and practices related to gift processing.
- Experience with gift acknowledgment processes and donor stewardship.
- Familiarity with fundraising best practices and industry standards.
