Our fast-paced team values learning from each other, demonstrating compassion and empathy, respecting all questions and ideas, striving for excellence, adapting willingly to change, supporting our colleagues and one another, and finding the joy in each day as we work to achieve change for children around the world.The Gifts and Records Coordinator plays a pivotal role in ensuring the accurate and consistent management of charitable gifts and donor records within the organization. This role requires attention to detail and the ability to maintain the integrity and confidentiality of donor information.Key responsibilities:Gift Entry and Maintenance:
  • Accurately record and maintain all charitable gifts received by the organization, including cash/check, stock, in-kind donations, planned gifts, and grants.
  • Ensure timely processing of gifts and adherence to established protocols.
  • Collaborate with relevant departments to reconcile gift data and resolve discrepancies.
Donor and Prospect Records Management:
  • Maintain comprehensive and up-to-date donor and prospect records in the organization's database.
  • Ensure consistency, accuracy, and completeness of donor information.
  • Regularly update donor profiles and gift histories.
Business Systems Integrity:
  • Maintains the integrity of business systems related to gift processing and donor management.
  • Assist in implementing and enforcing data management policies and procedures.
  • Identify opportunities for process improvements and contribute to system
Reporting and Analysis:
  • Generate accurate reports on gift activity, donor trends, and fundraising performance as needed.
  • Conduct data analysis to support strategic decision-making and fundraising efforts.
  • Coordinate with the accounting team to finalize the closing of books at the end of the month, including reviewing bank statements together and ensuring all gifts have been entered into FRNow accurately.
Gift Processing Training:
  • Provide training and support to staff members involved in gift processing to ensure consistency and accuracy in data entry.
  • Develop training materials and documentation to facilitate knowledge transfer.
Collaboration and Support:
  • Collaborate effectively with colleagues across all departments.
  • Provide support to fundraising initiatives and special projects as required.
  • Commits to SOS Children's Villages International's Code of Conduct and Child Protection Policy to maintain organizational wide values and prioritize the protection of children in all circumstances (Safeguarding children - SOS Children's Villages International (sos-childrensvillages.org)

Qualifications:
  • A minimum of 2 years experience in data entry, database management, and/or gift processing within a nonprofit environment.
  • Proficiency in using CRM/database software (e.g., Salesforce, Raiser's Edge, FRnow) and Microsoft Office Suite.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Commitment to maintaining confidentiality and discretion with sensitive donor information.
Preferred Qualifications:
  • College degree.
  • Knowledge of accounting principles and practices related to gift processing.
  • Experience with gift acknowledgment processes and donor stewardship.
  • Familiarity with fundraising best practices and industry standards.
