This position is responsible for maintaining and supporting operational workflows that span tax, legal, and administrative departments. The infrastructure (including reports, macros, and tracking systems) is already in place. The focus now is on ensuring those systems continue to run smoothly, resolving day-to-day issues, and helping team members navigate tools and outputs effectively.
You don’t need to build the machine, but you do need to keep it clean, powered, and reliable.Core Responsibilities
1. Report Maintenance
- Run recurring reports (e.g., Client Summary, Project Summary, XCM Reporting, PCS Reporting).
- Ensure outputs are formatted consistently and populate as expected.
- Apply threshold logic correctly and flag any exceptions for review.
- Use existing macros to process, move, and summarize data.
- Know when to re-run, troubleshoot, or revert if issues arise.
- Understand the logic enough to spot broken references or outdated ranges, and escalate or resolve with minor adjustments.
- Check incoming data for formatting or entry errors (e.g., IDs, categories).
- Resolve issues that break downstream processes, like inconsistent labeling or missing information.
- Keep lookups and comparison logic functional.
- Help team members understand what reports are showing/telling, how triggers work, and why something was flagged.
- Maintain training blurbs and checklists that already exist, update only as needed.
- Serve as a point of contact for “this report looks off” or “where did this data go?” questions.
- Watch for changes that could break logic (e.g., inserted columns, renamed tabs).
- Flag these shifts and adjust references or highlight issues proactively.
- Apply small refinements (new filters, updated tags, threshold tweaks) without disrupting the bigger system.
- Use established SaveComments and RestoreComments workflows to keep manual notes intact across report cycles.
- Monitor for note misalignment and fix if things shift out of sync.
Excel Proficiency Able to read and lightly adjust formulas, pivot tables, and conditional formatting. Confident in running and understanding macros.
Attention to Detail Can quickly spot small breaks or inconsistencies that might ripple through the workflow.
System Familiarity Understands how tabs, macros, and reports interact across the firm’s tools.
Clear Communication Can explain what’s happening in a report in plain language. Good at managing expectations when issues arise.
