We are seeking a highly organized, proactive Administrative Assistant to support our COO, Operations & Leadership team, and Hebron, KY office. This role is ideal for someone who thrives in a fast-paced, professional environment and enjoys balancing executive support, office administration, and stakeholder communication.As the first point of contact for many internal and external partners, you’ll ensure seamless operations, professional communications, and a welcoming office environment. This is a part-time, on-site role (24 hours/week, Tues–Thurs) - perfect for a skilled professional looking for consistent workdays and meaningful contributions without the demands of a full-time schedule.What You’ll DoExecutive & Leadership Support
- Provide direct support to the COO, including calendar management, communications, and prioritization of requests.
- Act as a gatekeeper by screening calls, visitors, and requests to protect executive priorities.
- Draft, edit, and prepare executive communications (emails, memos, presentations).
- Prepare briefing materials for leadership ahead of key meetings and client engagements.
- Arrange executive travel logistics, including hotels, conference registrations, and sponsorship materials.
- Assist leadership with special projects, research, or event coordination as assigned.
- Maintain company forms, templates, and documentation for accuracy and accessibility.
- Organize physical and digital filing systems, ensuring timely retrieval of contracts and records.
- Perform data entry, manage databases, and create reports/presentations as directed.
- Support leadership by maintaining accuracy in shared systems (SharePoint, GoCo, The Terminal).
- Collect, organize, and maintain business contacts, ensuring timely follow-up.
- Schedule and coordinate recurring and ad-hoc meetings (EOS weekly, SLT quarterly, 1:1s, client meetings).
- Take minutes and track follow-ups for EOS and SLT meetings; distribute to-dos and ensure accountability.
- Maintain and update the EOS weekly agenda annually.
- Prepare agendas, handouts, binders, and executive materials for leadership and client sessions.
- Handle confidential information with complete discretion.
- Maintain a professional, approachable presence in support of leadership and the Hebron office.
- Anticipate leadership and office needs, addressing issues proactively.
- Demonstrate discretion, integrity, and alignment with Connico’s values in all responsibilities.
- Provide front-desk coverage, greeting and assisting visitors, and answering calls professionally.
- Process incoming/outgoing correspondence, including Hebron office mail.
- Order, track, and maintain office supplies (including breakroom inventory).
- Serve as liaison with the landlord and vendors to address facility needs.
- Oversee daily office functions: supplies, printing, mailing, and logistics.
- Foster a welcoming, professional office environment that reflects Connico’s values.
- Associate degree in Business Administration, Office Management, or related field; or equivalent experience.
- 3+ years of administrative or executive support experience, ideally in professional services or consulting.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
- Experience with scheduling, travel coordination, and meeting logistics.
- Strong written and verbal communication skills; able to draft professional correspondence.
- Ability to maintain confidentiality and handle sensitive information.
- Highly organized, dependable, and proactive problem-solver.
