Office Manager
Location: Brookings, SDType: Full TimeStatus: ExemptReports to: President and CEOPosition SummaryThe Office Manager is a highly organized and experienced individual who orchestrates the daily operations of the SDSU Alumni Association to help create a positive, efficient, and productive work environment. The role has a variety of responsibilities including handling administrative, accounting, and executive support tasks with independence and initiative.Essential Duties and Responsibilities
  • Provide Exceptional Customer Service: Serve as the welcoming first point of contact for visitors and callers. Manage and respond promptly to general inquiries within 24 hours.
  • Financial Management: Oversee accounting systems and procedures to ensure accurate and timely reporting. Manage financial activities for the Association and Alumni Chapters, including processing accounts receivable and deposits, processing accounts payable, reconciling accounts, creating monthly reports, processing payroll, managing the Association budget, and coordinating the annual audits.
  • Streamline Daily Operations: Organize efficient daily office operations and ensure adequate staffing coverage. Support Alumni Association staff with administrative tasks and facilitate seamless event execution.
  • Data Management and Technology: Oversee alumni education information accuracy, including verification, maintenance, and new graduate import. Fulfill alumni data requests from various stakeholders. Collaborate with the Foundation to co-manage and maintain the alumni database (Blackbaud). Coordinate with IT regarding technical support for office equipment.
  • Executive Support: Arrange for meetings and coordinate calendar requests. Organize and execute quarterly board of directors' meetings effectively.
  • Manage Resources and Ensure Compliance: Maintain and update office policies, procedures, and payroll adherence. Foster positive relationships with vendors and service providers. Manage office supplies and equipment inventory.
  • Event Support: Participate in Alumni Association, SDSU, and SDSU Foundation events which will require occasional travel and night and weekend availability.
  • Perform other duties as assigned that contribute to the efficient operation of the Alumni Association.

Education and Experience
A bachelor’s degree is required. At least 3 years of related experience is preferred.Typical Physical Demands
Requires sitting, standing, bending, reaching, crouching, and some lifting up to 40 pounds. Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, the telephone, and other office and/or clerical equipment.
