The Whatcom County Library System (WCLS) is accepting applications for a full-time Records Management Specialist & Executive Assistant position at the Whatcom County Library System's Administrative Services Center. *This job opportunity does not represent a new position, but rather a replacement position at WCLS*SUMMARY: Under the direction of the Executive Director, the Records Management Specialist & Executive Assistant serves as Public Records Officer for WCLS and develops, administers, and maintains the organization's Records Management Program. This position also performs a variety of specialized and confidential administrative support duties and special project work for the Executive Director, Board of Trustees and management team. Duties also include greeting visitors to Administrative Services, answering telephone calls, taking meeting minutes and providing meeting hospitality. You may need to check your junk or spam folder.WORKING HOURS: Regular schedule of 40 hours per week, scheduled Monday through Friday, during regular business hours with occasional schedule variations or additional hours to accommodate for meetings and/or workload. Successful candidates may be required to adapt to future schedule and/or worksite changes depending on library needs.QUALIFICATIONS: Ability to establish and maintain highly effective working relationships and communicate clearly, effectively, and professionally both verbally and in writing with internal and external contacts. Requires proofreading skills, careful attention to detail. Keyboarding skills and computer knowledge, including thorough knowledge of Microsoft Office Suite, Adobe Acrobat, the Internet, e-mailing systems, and other relevant software packages are required. Ability to gain thorough knowledge of comprehensive records retention systems and all applicable federal, state, and local laws, rules, regulations, policies and procedures regarding records retention including Washington State Public Records Act (RCW 42.56) and Washington Secretary of State Archives Local Government Common Records Retention Schedule (CORE) as it pertains to libraries; Ability to gain thorough knowledge of Open Public Meetings Act, complete Open Government Training; Ability to gain working knowledge of Whatcom County Library System's policies and procedures and uphold strictest confidence in all matters of a confidential or sensitive nature that are included and available as part of the responsibilities of this position. This position requires the ability to report to meetings at a variety of times, dates and locations; a valid Washington State Driver's license and personal transportation is preferred to best facilitate meeting these required functions. Experience working with Boards and/or taking minutes preferred. Bachelor's Degree and three years or more related experience, with an eagerness and willingness to learn and develop new skills; equivalent technical training, education and/or experience will be considered. Certified Records Manager (CRM) or Certified Public Records Officer (CPRO) credentials preferred. Requires the ability to speak, understand, and write English clearly and concisely. Work requires occasional strenuous effort in the handling of materials up to 30 pounds. New employees are subject to a CRC (criminal records check) per RCW 43.43.830.
