Highly motivated and organized individual that can work in a high paced environment. Provide coordinate and provide administrative support (3) to (5) Project Managers with a designated regional territory from bid to closeout. Position requires a high level of collaboration with other key departments, i.e. Marketing, Supply Chain, Legal, Production, Logistics and Customer Service. Work directly with the Project Manager on all tasks related to each project.Tasks include but not limited to: Quotes, budgetary offers, project submittals.Essential Duties and Responsibilities include the following. Incumbent will follow any other instructions, and perform any other related duties, as may be required by the supervisor.Pre-Bid Process: Ensure that entries into our systems are complete and accurate. This will drive the pricing team to properly price all submissions, improve our inventory planning, production planning, logistics and forecasting processes.Bid Process: Read the project specifications and preparation of bid documents, i.e. bid letter, qualifications and required samples. Request logo quote and square footage to ensure right costing. The content of all documents will correspond to entries made during the pre-bid process.Award Process: Prepare draft submittals, product data and samples for approval. Coordinate effectively with Project Managers to make sure it’s done in a timely fashion. Continuously update our systems on any new changes.Execution Process: Support the Project Manager in all data entries, change orders or additional paperwork required during the execution stage. Prepare installation mandate and distribute to installers. Continuously update our systems on any new changes.20%5.Completion Process: Upload all relevant documents in Sharepoint for future reference.
