- Receive, sort, index, file, and retrieve forms, correspondence, and other documents.
- Schedule patient appointments and navigate electronic medical record (EMR) systems efficiently.
- Compile complex reports and work summaries as needed.
- Review and complete records, forms, and documents for accuracy.
- Receive and distribute HIPAA-sensitive correspondence in a secure and confidential manner.
- Operate a variety of standard office equipment (e.g., copier, scanner, fax machine, phone systems).
- Maintain confidential medical records and filing systems in compliance with applicable regulations.
- Verify insurance information and maintain records to support medical billing processes.
- Prepares laboratory samples for shipping and accessions electronic lab orders.
- Perform vaccine inventory management, including receiving shipments and monitoring storage temperatures.
- Handle medical records requests in accordance with privacy laws and internal policies.
- Supervise and assist other administrative support positions as needed
- Knowledge of mail classes and postage requirements.
- Knowledge of personnel and departments and referral processes.
- Knowledge of adult and pediatric vaccine schedules, including alternate and catch-up schedules, exceptions, and proper vaccine storage and handling procedures.
- Knowledge of office equipment, web-based medical applications and electronic medical records systems.
- Understanding of and adherence to HIPAA standards and patient privacy practices.
- Knowledge of medical office policies, procedures, and provider standing orders.
- Skill in medical terminology and standard medical office practices.
- Skill in multi-tasking in a fast-paced office environment, with a high level of customer service.
- Ability to assist patients with appointment scheduling and navigate eligibility for services based on grant-funded programs, private insurance, or private pay status using qualifying criteria.
- Skill in general accounting practices and billing practices.
- Skill in tracking, analyzing, and reporting data and activity levels accurately.
- Effective verbal and written communication skills.
- Ability to establish and maintain positive working relationships with coworkers, external agencies, and the general public.
- Education:
- Certificate in Medical Office Administration and/or
- Experience working in a medical office environment with demonstrated use of electronic medical records (EMR) systems.
- Note: Candidates without a certificate or medical office experience must demonstrate the ability to obtain the required qualifications within six (6) months of hire.
