SUMMARYThe Purchasing Coordinator works under the general direction of the Purchasing Manager. The Purchasing Coordinator’s responsibilities include researching and evaluating new suppliers, negotiating purchasing terms, ensuring products meet specific specifications, implementation of special projects that involve new product support and introduction to the market place, purchasing and coordination of our in store fixture program and evaluating supplier performance. The Purchasing Coordinator will work with staff across departments to forecast the needs of the business and make purchase decisions based on demand.The Purchasing Coordinator should have the ability to self-motivate and handle multiple tasks in a fast-paced environment. Must possess excellent negotiation skills, be analytically minded, and demonstrate good working knowledge of purchasing strategies.ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.Research, select and purchase quality products and materials.Build supplier relationships and negotiate best possible terms and conditions.Coordinate with Project Managers, Operations and Engineering on new item development.Prepare proposals and requests for quotes.Review proposals/quotes and make recommendations for orders, communicates requirements to suppliers and publishes expected delivery schedules.Analyze forecasts, trends and needs of the business to make insightful buying decisions.Prepare and issue purchase orders and agreements.Arrange transport of goods and track orders to ensure timely delivery.Manages the purchasing and coordination of our in store fixture program and point of purchase display materials.Tracks fixture sales through the use of the Sales Data Cube and reports sales vs forecasts to the sales team on a regular basis.Monitor inventories and ensure that stock levels are kept at appropriate levels and reconciles inventory of offsite warehouses.Inspect and evaluate the quality of purchased items and resolve any discrepancies.Coordinates product safety testing to ensure compliance with CPSIA, ASTM, FDA, California Prop 65 and EN71 regulations.Updates and maintains vendor files and vendor compliance tracking.Inherent in each position is a general duty to maintain each respective work area in a safe and sanitary condition. An equivalency of education could possibly fulfill formal degree requirements.Strong analytical, decision-making, and negotiation skills.Knowledge of procurement principles and practices.Excellent communication, interpersonal, and problem solving skills.Ability to multitask and manage multiple deadlines.Close attention to detail is essential.Proficiency in Microsoft Office with business application software, purchasing and resource planning systems (MRP).Team player with strong organizational skills.LANGUAGE SKILLS: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and process descriptions. Ability to effectively present information and respond to questions from colleagues, groups of managers, clients, customers, and the general public.MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to create and interpret graphs.REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
