Position SummaryThe University of New Mexico is seeking a highly motivated, dynamic, detail-oriented, and organized individual to join the Office of the Vice President for Research (OVPR) team as a Program Coordinator to support various programs within the Faculty Research Development Office (FRDO) and OVPR, including the Grand Challenges Program. This position will report to the Director of the Faculty Research Development Office with an additional reporting line to the OVPR Associate Director of Finance & Administration, and Grand Challenges Sr. Program Manager.The mission of the OVPR is to advance, facilitate, and celebrate cutting-edge discovery and innovations. Additionally, they will plan and coordinate the day-to-day administrative and operational activities of OVPR programs and initiatives, including those in the FRDO, OVPR, and the Grand Challenges program. This is a term, full-time, benefits eligible position with funding available through 6/30/2025. Continuance beyond that date is subject to the availability of additional funding. This position may require limited travel within New Mexico.Key Duties and Responsibilities
  • Scheduling & Logistics: Assist FRDO Director, Grand Challenges Sr. Program Manager, and/or OVPR Admin Team with basic meeting and event logistics such as meeting scheduling, creation and distribution of meeting minutes, and preparation of materials and recordings for distribution.
  • Event coordination: work with the FRDO Director and other OVPR team members in arranging logistical aspects of small to medium events including FRDO events (trainings, team facilitation, workshops) OVPR Events, Grand Challenges Day, and others. Plan and implement event logistics including invitations and registrations, catering, securing venues, AV and online meeting support, preparing materials, communication with speakers and attendees, post-event surveys, and related tasks as needed.
  • Proposal administration support: Provide administrative support for Faculty Research Support Officers (FRSOs) on grant proposals (e.g. document collection and uploading to internal/sponsor portals), and limited competitions (e.g. drafting internal call letters and setting up internal competitions).
  • Internal/limited competition administration: Use InfoReady, UNM's internal competition management system, to set up and administer limited competitions and internal competitions led by the OVPR or OVPR units, including Grand Challenges (e.g. WeR1 programs), as well as other competitions or programs, as needed (e.g. TEF).
  • Data management: Find, acquire, clean, and present research-related data based on strategic needs of the FRDO, OVPR, or Grand Challenges program.
  • Communications: Work with the FRDO Team and OVPR Communication & Marketing Manager to write, edit, and coordinate development of promotional materials, educational materials, training manuals, newsletters, and/or brochures, as appropriate to the program.
  • May support OVPR units in the areas of human resources and fiscal transactions.
  • Will be asked to perform miscellaneous job-related duties as assigned.

Minimum QualificationsHigh school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications
  • Proficiency or advanced skills with Microsoft Office Suite and Adobe Acrobat
  • Ability to gather and analyze statistical and survey data and generate reports. (e.g., Qualtrics, Microsoft Excel, UNM MyReports)
  • Knowledge of basic program management techniques including preparation of timelines, Gantt charts, development and tracking of metrics, and assisting in the preparation of program reports.
  • Demonstrated time management skills, with excellent coordination and ability to follow through
  • Outstanding verbal and written communication skills
  • Experience with or the ability to quickly learn university financial systems and procurement practices, including P-Cards, purchasing, special exceptions, Chrome River, time sheets, and travel reimbursement processes
  • Experience with academic event planning
  • Experience scheduling and coordinating meetings
  • Experience with proposal administration
  • Excellent interpersonal, teamwork, and problem-solving skills
