DescriptionCLINIC ADMINISTRATOR JOB SUMMARYReports directly to Chief Operating Officer and responsible for providing administrative direction, coordination and implementation of policies, procedures and programs. Manages the daily operations of the practice including personnel, financial, clerical, housekeeping, and maintenance and purchasing functions. Plans programs, allocates, and assigns duties to employees. Reviews records for compliance requirements. Monitors activities and operations to ensure that the practice successfully meets its objectives aligned with clinic's mission and vision.CLINIC ADMINISTRATOR ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Provides leadership, direction and coordination for general clinic operations
  • Leads inspirationally, nurtures commitment to company's vision and core values
  • Articulates issues from broader organizational/mission perspective
  • Tactfully mitigates conflict and performance development issues and demeanor that promotes behavioral change
  • Assists to develop operating policies and procedures for the clinics
  • Ensures compliance with established practices and polices
  • Conducts regular audits to ensure compliance with policies and procedures
  • Keeps employees abreast of current changes and standards
  • Demonstrates leadership skills of:
-Strategic and critical Thinking-Conflict Management-Negotiation and Motivation-Personnel Development-Time Management-Research and Prepare reports
  • Demonstrates initiative and implements changes to improve clinic operations
  • Conducts regular staff and provider meetings and assures related minutes are recorded
  • Works closely with Quality Improvement department to conduct periodic activities and PDSAs and shares data with staff
  • Clearly defines expectations from staff and develops team work
  • Ensures clinic administrative and clinics goals and objectives are met
  • Utilizes resources in an effective and economical manner
  • Management of clinic operations to achieve and maintain financial performance targets
  • Has a working knowledge of the centers overall operating budget
  • Ability to analyze budget quarterly to reflect reasons for variances of >5%
  • Meeting the clinic goals and objectives in line with clinic mission and vision
  • Works closely with the providers and Medical Director to achieve productivity goals
  • Assists Medical Director to keep track providers' time off and ensures coverage for patient care
  • Gathering and reporting data for fiscal, statistical and analysis purposes
  • Creates Dashboards to present and share data with administration and clinic staff
  • Achieves and maintains targeted staffing, quality and service standards
  • Works with Outreach department to manage internal and outreach services of the clinics
  • Works collaboratively with Billing department to assure timely and accurate capture of charges for services provided
  • Plans and schedules work in a cost effective manner
  • Mentors and coaches other clinic managers and leads
  • Consults with Human Resources or Administration prior to a formal counseling or dismissal of employee(s).
  • Processes all paperwork in a timely manner and forwards to appropriate departments (i.e., Administration, Payroll etc.), for time off, counseling actions, and performance evaluations.
  • Conduct performance reviews. Recommends staff merit increases, promotions and disciplinary actions.
  • Completes and updates personnel files-ensures required forms are completed.
  • Submits office staff time cards for payroll processing bi-weekly verifies accuracy and completeness of employee time.
  • Approve and maintains all vacation and other “days off” schedules for providers and staff.
  • Ensures all positions are filled with trained personnel during vacation/sick calls and fill in when needed.
  • Responsible for maintaining high morale and good relations throughout the office.
  • Responsible for maintaining proper support for the providers
RequirementsCLINIC ADMINISTRATOR EDUCATION, TRAINING AND EXPERIENCE
  • Graduation from junior college or an accredited University is a plus.
  • Minimum of five to seven years of work experience, with increased responsibility, in a medical environment.
  • Minimum of five years of experience supervising staff.
CLINIC ADMINISTRATOR PAY RATE: $77,000-$90,000 annuallyCLINIC ADMINISTRATOR BENEFITS:
