
Executive Assistant - Chief Clinical Officer

- Location: Evanston, IL
- Full Time/Part Time: Full-time, 40 hours per week
- Hours: Monday-Friday
- Required Travel: Travel to other sites based on department need
- Provide administrative support to the System Chief Clinical Officer, Corporate Quality
- Maintain and coordinate all aspects of schedule and calendar for leader and/or department
- Provide diversified administrative duties to clinical leader/department to ensure efficient office operations.
- Schedule and plan for meetings including coordinating with all parties involved, preparing handouts, making room arrangements, and sending communication.
- Assist in the preparation of committee agendas and meeting minutes
- Draft and edit dictations, memos, presentations and letters with accuracy
- Handle verbal and written communication: receives, screens, and refers urgent calls and/or situations to the proper personnel
- Excel at taking initiative and possesses a natural curiosity to learn and improve the current system so it is more efficient and impactful
- Proactively identify issues, seek out solutions, and ask insightful questions to drive continuous improvement and team effectiveness
- Explore opportunities for process improvement and inquire about innovative ways to enhance our operations and functions
- Exhibit a strong willingness to acquire and apply new knowledge and skills
- Seek opportunities for self-improvement and learning
- Education: Bachelor’s degree, preferred
- Skills:
- Must be able to problem-solve and perform job duties under pressure in a fast-paced office environment
- Highly proficient in Microsoft Office programs (Word, Excel, PowerPoint)
- Able to manage many work streams simultaneously
- Ability to operate general office equipment (i.e. photocopier, fax machine
- Ability to act independently, have good judgment, and work with minimal supervision, as well as having the willingness to accept challenging projects
- Must proactively seek out sources for instruction and complete projects appropriately and in a timely fashion
- Must be able to handle multiple tasks in an organized manner.
- Must demonstrate excellent customer relations skills
- Experience:
- 3-5 years of related administrative support, required
- Project management experience, preferred;
- At least 1 year at the Executive Administrative Assistant level in a healthcare environment, preferred
