The Music Communications and Front Office Coordinator position fulfills a wide variety of customer service duties, faculty and student support, and administrative responsibilities, and supervises front office and social media student employees. This position also oversees the creation and production of School of Music communication deliverables in a variety of media platforms; supports the Concert Hall Manager (CHM) in the concert ticketing system with sales of online and advance concert tickets, and concert season passes; and reports to the Executive Assistant to the Dean.ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES: Employment duties include, but are not limited to the following:Music Front Office Coordinator
  • Front Office Support:
  • Provide friendly and inclusive support to students, faculty, the Stetson community, and the public via in-person, phone, and email
  • Provide faculty with support for touring programs, as assigned by the Dean
  • Order office supplies, keep the three Presser Hall printers running, work with vendors and other Stetson departments as needed (Warehouse, Post Office, Finance, Web Services, etc.)
  • Manage student lockers and locker sign-outs
  • Establish and manage room reservations for the School of Music
  • Maintain the School of Music webpages
  • Provide support for ensemble tours, including the School’s annual performance at Carnegie Hall
  • Student Recital Support:
  • Organize and assist the Concert Hall Manager (CHM) and Assistant Dean of Student Affairs schedule music students, in collaboration with faculty members, to perform in a recital at the beginning of each semester
  • Receive and format program information from students and faculty via online form submissions weekly
  • Coordinate with the music librarian to edit submissions to the Library of Congress standards
  • Collaborate with CHM who will decide the order of performers, number of recitals, and venues each week; format, produce, and print programs each week
  • Handle junior recitals’ sign-ups and senior recitals’ scheduling and program support
  • Ticketing Support:
  • Support the CHM in the School of Music portion of Stetson’s ticketing system
  • Build events within the Stetson websites and ticketing vendor websites
  • Run reports as needed for revenue, donations, ticket sales, customers, etc.
  • Assist CHM with all aspects of Christmas Candlelight tickets
  • Design and maintain annual Concert Series and Jazz passes
Music Communications
  • Marketing and Media Collaborator:
  • Serve as the primary liaison with Stetson University Marketing
  • Manage SoM image library: acquisition, storage, and selection
  • Work in collaboration with Stetson University Marketing for School of Music print and digital advertisements in national and regional publications
  • Coordinate the annual advertising schedule with administration
  • In collaboration with Marketing, design printed and digital promotional materials
  • Serve as writer and editor for SoM publications
  • Concert Promotion:
  • Collaborate on projects and coordinate all communications, marketing, advertising, creative, and promotional activities for the School of Music’s more than 200 annual concerts
  • Concert program coordination, including design, editing, and production for approximately 200 concerts each year
  • Work with faculty, students, and guest artists to collect necessary program and biographical information
  • Maintain sets of program files per year for submission to ASCAP and BMI
  • Administrative writer and editorial support
  • Other SoM communications include website, email blasts, and Presser TV
  • Student Supervisor:
  • Serve as social media initiative coordinator—create and manage the School of Music’s blog, Facebook, and Instagram accounts
  • Monitor the School of Music YouTube account with the Sound Crew and Concert Hall Manager
  • Supervise social media student employees
  • Performs other site and position-specific functions as assigned.
Required Skills
  • Possess the ability to create and maintain an inviting, professional, and inclusive environment in the front office of the School of Music to all constituents: students, faculty, staff, and the public
  • Proven ability to problem-solve and prioritize complex projects under deadlines, independently or in collaboration with others
  • Ability to build meaningful professional and interpersonal relationships with faculty, staff, and the leadership team to enhance collaboration in recruitment and retention, aligning with Stetson's strategic priority of a relationship-rich education
  • Possess exceptional oral, writing, and editing skills, as well as experience in design and format for both digital and print content
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook)
  • Strong appreciation of music performance and music education
Required Experience
  • HS diploma, GED, or equivalent certificate of competency
  • Administrative support experience, preferably in higher education or proven equivalent work experience
