Communicate and ensure good customer service, both verbal and written with students, faculty, staff, customers, and vendors. Prepare and maintain accurate course listings on a semester basis, accurately loading courses into mainframe. Serves as unit's Student Employment Partner. Provides a variety of academic and student support services for the Honors College. Assist the Executive Assistant to the Dean / Business Manager and serves as building coordinator and assets custodian for the college.Job Responsibilities:Academic and Student Support Services: This position provides a variety of academic and student support services for the Honors College which includes classroom scheduling, receiving faculty teaching agreements to ensure timely payments. Maintains database for courses and faculty, loads all courses into mainframe in accordance with the Registrar's calendar, working with faculty and staff across campus to ensure prime time limits are not exceeded and courses have rooms booked. Credentials instructors. Maintains course fair information, collect course fliers, order course books. Collaborate with advisors to respond to advising needs. 25%Event Planning Services: Independently coordinates major Honors College events (graduation ceremony, awards ceremony, recruiting events, senior recognition ceremony) including selection of location, caterer, arranging set up and break down, etc. Handles all reservations for use of Honors College facility (Sternberg Salon, seminar rooms) including the reservation form/contract agreement as well as processing journal entries in Workday for departmental payments and performs related duties as assigned.
Assists with donor cultivation, stewardship and fundraising activities. Coordinates use of college parking spots and interfaces with the parking office to issue violations. 25%Front Office: Serves as the official mainline of communication for the Honors College. This position greets faculty, students, and visitors. Answers the main office phone. Assists callers and visitors with all inquiries and directs calls/questions to appropriate staff. Ensures that the receptionist desk always has adequate coverage. Maintains the Honors College electronic calendar. Provides administrative support to the Honors College staff and faculty and performs other related duties as assigned. 25%Administrative Support Services: Assists the Executive Assistant to the Dean/Business Manager. Responsible for ordering all office supplies including, business cards, names tags, etc. Serves as backup Building Coordinator and assets custodian to maintain space and equipment inventory. Submits maintenance requests and acts as liaison with Facility Services Department. Collects and distribute all incoming and outgoing mail. 15%Backup Student Employment Partner: Works with Executive Assistant on HR actions in Workday for student workers including hiring, on-boarding, job continuations, compensation adjustments, separations, new positions, and requisitions. Train and supervise 5-10 student employees to set up/break down events, maintain receptionist desk including answering incoming calls and greeting OHC visitors in a friendly and professional manner to reflect a positive image for the college and LSU. Ensure all student employees document work time correctly.
