Join our team in its dedication to be the leading destination for gaming and hospitality on the beautiful, southern Oregon coast!SALES COORDINATOR:BASIC FUNCTION (the primary purpose of this position): This position is responsible for the administrative and sales support for the Sales Department at The Ko-Kwel Casino Resort, providing high-level administrative support by preparing statistical reports, collecting and processing sensitive data, and performing clerical functions.PRINCIPAL ACTIVITIES & RESPONSIBILITIES:
Promote a clean, safe, healthy and friendly work environment for employees and guests; report and direct safety issues to Safety Committee.
Provides administrative support to Sales team including the Sales Director, Manager and Sales Representatives.
Maintains and executes internal events.
participates in an admin role at trade and travel shows.
Assists in coordinating group functions/special events once group arrives.
Responsible for taking all incoming calls into the department and distributing leads to Sales Reps.
Prepares all contracts for group tours, catering, conventions and other events as needed.
Ensures that group arrival information is disseminated to appropriate departments to ensure the success of group arrival.
Assists in preparing welcome packages to include discounts and trinkets as needed.
Conduct site tours and respond to telephone and walk-in inquiries about the hotel, RV park and casino.
Prepares and types correspondence, forms, reports, charts and graphs for Sales Department.
Manages all tour bus and golf group arrivals on property in collaboration with the F&B & Hotel Departments.
Assists in the development of sales materials and catering packets.
Creates and updates layouts for catering events in Amadeus or other applicable system.
Acts as a coordinator for group functions.
Responsible for maintaining budget tracking and commission reports.
Responsible for setting up and maintaining files and sales databases.
Assists with check requisitions and ordering for Sales Department.
Attends meetings to scribe notes as necessary.
Prints directional signage for meeting spaces and events daily.
Updates and programs directional screens for Sales events
Assists hotel in production of key packets for tour groups including creating coupons and vouchers.
Responsible to distribute updated Banquet information to other departments when necessary.
Responsible for fulfilling customer requests for information.
Inputs rooming lists into Visua1 for the Sales Department.
Responsible for final billing on Group Masters after event ends.
Conducts research necessary for developing new sales leads as assigned.
Represents The Ko-Kwel Casino Resort professionally and positively on the telephone and in person.
May assist as event support.
Assist in the training and development of Tribal Member employees following The Ko-Kwel Casino Resort's Tribal Member Preference policies.
Other duties as assigned.
POSITION REQUIREMENTS (objective educational or technical training required; skills; and years of experience):
A HS diploma or GED required; a college degree or administrative certificate is strongly preferred.
Proven proficiency in MS Office and V1 required.
Prior experience must include position(s) in which multi-tasking, strong organizational skills and attention to detail was required.
Minimum two years of related work experience with a hospitality and/or convention sales background a plus.
Must have excellent writing and proof-reading skills.
Must have excellent interpersonal, problem solving and customer service skills.
Must demonstrate a positive attitude, be approachable and friendly.
Must have excellent oral communication skills with the ability to sell property amenities.
Must pass and remain in compliance with Coquille Gaming Commission background check and drug free work place policies
