Position SummaryThe Alumni Advisor is responsible for integrating program attendees into the facility-specific Rooted Alumni Program at Promises Behavioral Health. This role ensures proactive client engagement from admission through ongoing support by managing alumni profiles and facilitating aftercare services and events.Key ResponsibilitiesClient Onboarding & Profile Management
  • Timely Profile Creation: Complete the alumni profile generator within 48 hours of each client admission using Salesforce Inquiry, ensuring alignment with the Encyrcle platform.
  • Profile Maintenance & Updates: Maintain and update alumni profiles in the facility’s alumni database spreadsheet, ensuring consistency with the Encyrcle platform.
  • Encyrcle Platform Administration: Manage and update alumni data in real-time while coordinating with corporate leadership to resolve discrepancies.
  • Client Education & Consent: Educate clients on alumni aftercare services and obtain opt-in agreements for post-discharge contact.
  • Documentation: Record all text/call interactions with alumni in the facility’s alumni database.
Alumni Engagement & Events
  • Client Face-to-Face Introduction: Meet with each client within 48 hours of admission to establish rapport.
  • Rooted Pathways Alumni Education Group: Facilitate weekly alumni education sessions for clients.
  • Pre-Discharge One-on-One Follow-Up: Conduct individual follow-ups within 72 hours before discharge to reinforce alumni program benefits.
  • Team Collaboration: Participate in national alumni team meetings and one-on-one calls with leadership.
  • Aftercare Follow-Up: Conduct follow-up calls per corporate standards and document all interactions.
  • Local & Virtual Meetings: Organize and lead weekly in-person and virtual alumni meetings.
  • Event Planning: Plan and coordinate monthly alumni events, annual Homecoming celebrations, and service projects.
  • Email Blast Coordination: Draft professional, engaging bi-weekly email content for alumni updates.
  • Internal Newsletter Creation: Develop a monthly internal newsletter to highlight alumni department initiatives.
  • Digital Engagement: Manage and monitor the facility’s alumni social media presence.
Administrative & Financial Responsibilities
  • Corporate Credit Card Usage: Ensure compliance with corporate and departmental guidelines, properly documenting all transactions within budget.
Additional Responsibilities
  • Cross-Training & Coverage Planning: Train designated team members for role coverage during absences.
  • Special Projects: Execute additional duties as assigned by the Senior Corporate Director of Clinical Services.
  • Decision-Making: Operate autonomously within PBH Rooted Alumni Community standards.
  • Additional duties and responsibilities as assigned.
Knowledge, Skills, and Abilities
  • Recovery Knowledge: Familiarity with 12-step programs or alternative recovery methods.
  • Event Planning: Strong organizational skills in event coordination.

  • Self-Sufficiency in Technology: Ability to learn, troubleshoot, and manage digital systems independently.
  • Creative Writing & Marketing Expertise: Strong skills in crafting engaging content and digital communication.
  • Flexibility: Willingness to work alternate, evening, and weekend schedules as needed.
Job Qualifications and Requirements

Education
  • Completion of a drug and alcohol studies program (preferred).
  • Some college coursework (preferred).
Experience
  • Minimum 1 year of experience in addiction or mental health-related field (2 years preferred).
  • Excel Experience

Writing Sample RequirementAs part of the application process, candidates will be asked to submit a writing sample demonstrating their ability to create professional, engaging, and well-structured content. The sample should be one of the following:

  • A newsletter article on a relevant alumni engagement topic.
  • A social media post designed to engage and inform an alumni community.
