ROSE STATE COLLEGE ANNOUNCES AN OPENING IN WORKFORCE DEVELOPMENTPOSITION: K-12 Programs AssistantDescription of Duties: Responsible for managerial and administrative support of Programs Kids College (KC), AOPA, OSRHE Camps, K-12 Programs events and other STEM Academics. Established and monitor day-to-day operations for departmental activities to include, but not limited to, initiatives, events, shared calendars and other accounts, meetings, logistics, mail, billing, registrations, administration, staff availability and training, resources, public relations, maintenance trouble calls, supplies, and general knowledge for Rose State K-12 Initiatives. Monitor and manage work schedules for all Kids College assistants and counselors. Monitor and manage schedules for all K-12 work studies and part-time employees. Monitor and manage K-12 technological devices, including, laptops, iPads, tablets, drones, 3d printers, and other not listed devices. Assist the Director of K-12 Programs in all planning of events and programs. Some nights and weekends are required. Anticipate supply needs; coordinate with staff to maintain inventory of office/program supplies and materials, as required. Solicit staff on a recurring basis to ensure future needs. Provide direct support to other branches of Workforce Development (WFD) as needed. Track daily availability of staff and maintain WFD leave tracker for all K-12 staff; provide training as required to ensure proper usage and discrepancy elimination. Additionally, contact any staff members that fail to report in a timely manner on workdays to ensure safety and well-being. Manage the collection and submission of monthly payroll reports and timesheets for full-time, part-time, and adjunct instructors and staff. Manage and delegate answering telephones, setting out-of-office recordings, relaying messages, and directing callers to appropriate areas/departments. Perform oversight and assist employees in proper records management of all physical and electronic office correspondence to include, but not limited to, filing, scanning, copying, safeguarding, encryption, and destruction of sensitive materials. Regular attendance and excellent customer service are essential functions of this position. Report office progress of assigned duties to Director of K-12 Programs and work with them to continually improve office operations, procedures, and productivity. Process improvements include, but are not limited to, participation in 5-Yr strategic planning with CWE, client meetings/discussions that involve K-12 partnerships and vision and managing staff and agendas in preparation for various meetings. Perform other related duties as assigned.Minimum Qualifications: Highschool diploma or equivalent and three (3) years secretarial or office related experience. Excellent oral/written communication, interpersonal and organizational skills. Proficiency with MS Office (Word, Outlook and Excel). Ability to learn basic purchase order processing. Light lifting up to 30 lbs. and light carrying up to 30 lbs. required. Ability to reach above shoulder. Periods of time spent sitting, standing, walking, kneeling, bending and stooping.Desired Qualifications: Bachelor’s Degree. Five (5) years secretarial and office management experience to include the supervision of others.
