- Direct the end-to-end processing of student account credit balance refunds, including advanced and applied balances, in accordance with federal (Title IV) regulations and institutional timelines.
- Manage daily functions of the Credit Balance team including, but not limited to, processing credit balance refunds, rejected ACHs, stop payments, and unclaimed property/escheatment processing.
- Ensure appropriate staffing levels through recruiting, hiring, training, and development of team members; make staffing and promotion recommendations as needed.
- Develop and maintain schedules to ensure proper operational coverage and adherence to service-level expectations and compliance requirements.
- Provide input regarding department staffing plans, maintaining service quality while aligning with resource constraints.
- Regularly review and improve customer service and operational processes to enhance accuracy, efficiency, and the student experience.
- Provide training, mentorship, and guidance to staff to ensure they are well-informed and capable of delivering high-quality student support.
- Demonstrate deep and current knowledge of Title IV regulations as well as institutional policies, and when applicable, knowledge of third-party billing, Military/Veteran Affairs funding, international programs, and state-specific financial aid requirements.
- Clearly communicate policies and procedures, articulating both regulatory requirements and their value to the student experience.
- Serve as a subject matter expert and escalation point for complex student finance inquiries and refund issues.
- Ensure team members have access to and understanding of tools, systems, and resources necessary to perform their duties effectively.
- Identify, document, and share best practices within the department to promote consistency and continuous improvement.
- Maintain a thorough understanding of all student finance programs, processes, and systems.
- Assist in the preparation and submission of documentation or reports related to audits, accreditations, or state authorizations.
- Ensure compliance with all applicable federal, state, and institutional standards and policies.
- Perform other duties and special projects as assigned.
- Bachelors Degree Required
- 4 years of combined professional and prior people management experience Required.
- Experience working in a service-oriented industry Required.
- Experience in budget preparation, financial modeling, and accounting management Required
- Must know federal and state financial aid rules and regulations.
- PC skills in Microsoft Office and financial aid software.
- Understand and support internal and external customers.
- Exceptional leadership, critical thinking, organization and interpersonal communication skills. Ability to interact with all levels of the organization and work in a fast-paced environment. Ability to work independently and make sound decisions without supervision.
- Student Finance experience required. Specifically, knowledge of principles, practices, methodology, and procedures for the provision of student financial aid and knowledge of federal and state financial aid laws.
- Proven ability to set deadlines and ensure projects are.
- Strong presentation skills and prior experience speaking in front of senior leadership.
