Prepare complex legal documents and correspondence; compose, draft, and proofread routine cover letters and documents to ensure appropriate formatting, spelling and grammar; Prepare revisions and redlines documents.
Prepare documents for court filing/eFiling with state and federal courts.
Review/route all mail and fax communications including arranging for specialized mail or messenger services ensuring all attachments, exhibits and enclosures are included.
Maintain and update calendars for assigned attorneys, including meetings, appointments, due dates, and client-related activities and maintain/retrieve files (chronological files/administrative records) in compliance with internal policies.
Prepare attorney time entry and submit in a timely manner; prepare expense. reimbursement/disbursement requests; prepare billing letters and coordinate client invoicing with Billing Department.
General administrative support (prepare/process new matter documents, receive/screen calls, coordinate travel/prepare itineraries with expense reports, schedule meetings/arrange conference rooms and catering, take notes during client meetings).
Addition administrative tasks (pilot new software, mentor new staff, provide back-up to receptionist as necessary).
Position Requirements:
Proficiency with MS Office (Word, Outlook, Excel), document management, time entry, eFiling and database software.
Knowledge of legal terminology and processes.
Excellent communication and organization skills and proofreading abilities.
Excellent time management skills and be able to work independently as well as with a team.
