- Audit and process vendor invoices and liaise between transportation vendors and the district Finance Department.
- Understand the district’s transportation contracts and apply that understanding to ensure appropriate implementation and monitoring of contracts. Raise issues as appropriate to the supervisor.
- Record and analyze trends on vendor’s performance challenges and contract breaches.
- Analyze departmental spending and implementing cost control measures to align
- Respond to concerns and questions related to transportation from families and school staff members with timeliness, urgency, kindness, and grace.
- Assist in the creating and auditing of bus routes, schedules, and stops to comply with policies provided by the Holyoke Public Schools.
- Collect and use data from a variety of sources to track student ridership, improve efficiency, and ensure that all required reports are submitted to the proper agencies on a timely basis.
- Assist leadership in managing the collection and maintenance of student data in our transportation software (receiving forms and paperwork, managing databases, updating contact information, maintaining records, entering data, etc.).
- Liaise with schools to communicate new and updated route information, safety concerns, time changes, and any other necessary information as needed.
- Plan and manage transportation logistics for district programs and activities as needed.
- All other duties as assigned by the Director of Enrollment Services or Transportation Manager.
- Manage and record facility rentals
- Print staff identification cards
- Provide driver wages to food service vendor
- Work with Financial Analysts to assist with financial, procurement or other
- Communicate and maintain positive relationships with a wide array of constituents, including principals, support staff, leadership teams, vendors, and community members
Experience, skills, traits, and beliefs:
- Bachelor's Degree preferred or high school degree with equivalent experience
- Municipal accounting, banking, or school operations experience preferred.
- Must be able to apply learning and coaching from supervisor.
- Must be able to express oneself clearly and concisely orally and in writing using proper grammar.
- Must be a team player and able to work well with others.
- Must be able to work independently
- Must possess computer skills and be able to work in Word/Docs and Excel/Sheets.
- Experience with MUNIS is a bonus.
- Regular and punctual attendance is a requirement.
- Certain situations may require longer hours to complete duties.
- Bilingual (Spanish/English) is a bonus.
