Ensure timely and accurate submission of the following required (but not limited to) MW and subcontractor reports: certified payroll, employee utilization, trainee, etc. Review and verify various sub tier reports and checking for accuracy and contract compliance.   • Communicate with subcontractors regarding project documentation requirements (Agreements, Certified Payrolls and Certificate of Insurance).
  • Log cert payrolls from subcontractors and hired haulers into Access, daily.
  • Sort and distribute certified payrolls to Owners, weekly.
  • Process subcontractor payments in Spectrum, verify receipt of cert payrolls and insurance for pay period prior to payment.
  • Key owner estimates to Spectrum for 15th & 30th period end.
  • Generate and track vendor lien waivers as required.
  • Report vendor payments per designated programs, and ensure subcontractor reporting confirmations of same
  • EEO Reporting - Request Owner required Monthly Reports of subcontractors, receive, compile, and submit to Owners, monthly and annually.
  • Prepare initial Trainee intro and completion documents, as required.
  • Prepare and submit Trainee reports, monthly.
  • Prepare annual subcontractor and wage compliance reports for Owners as necessary.
  • Filing as required.
Qualifications
  • High School Diploma/GED.
  • Strong math skills
  • 3 to 5 years working in an office environment.
  • Working knowledge of payroll best practices.
  • Strong PC skills including proficiency in Excel.
  • Strong work ethic and team player.
  • High degree of professionalism.
  • Ability to deal sensitively with confidential material.
  • Strong interpersonal (verbal and written) communication skills.
  • Ability to communicate with various levels of management.
  • Decision-making, problem-solving, and analytical skills.
  • Organization, multi-tasking, and prioritizing skills.
Other Functions
  • Assist EEO officer with monthly compliance reporting.
  • Assist the DBE Contracts Administrator with subcontractor requirements and reporting.
  • Provide support during audits.
  • Assists in special projects or requests.
Working conditionsPrimarily a controlled office environment, ability to work additional hours as needed to meet deadlines.Physical requirementsPrimarily a controlled office environment. May lift up to 40 pounds to move copy paper to the copier, and file boxes to storage.
