Job DescriptionTennessee State University Office of Events Management invites applications for the position of Assistant Director of Camps and Programs.The assistant director promotes a “one-stop-shop” event management philosophy overseeing the coordination of all support services for a variety of meetings, events, and summer programs/camps; assisting with facility scheduling, room set-ups, equipment rentals, catering, security, media services, housing, and all other pertinent event details for internal and external clients desirous to have a camp on campus. Duties include initiating meetings with clients to ensure planning details for upcoming events are communicated properly and implemented effectively; offering suggestions and guidance when appropriate; and providing quality customer service ensuring high-levels of client satisfaction. Additional responsibilities include assisting with creating reports and other documents. Providing evening and weekend coverage for major events as needed, managing camps/programs expense budgets, and upselling, proposing and implementing new, creative ideas to stay current with event trends. This position will hire, train, schedule, manage, and direct the student and summer employees, as well as delegate work assignments and supervise progress and perform other related duties as assigned or requested.Characteristic Duties and Responsibilities· Responsible for recruiting, managing, and contracting affiliate and non-affiliate camps and programs.· Develops a process to streamline, monitor and manage the registration process and logistics related to program/camps.· Coordinates the collection and compliance of all documents and programs/camps desiring to meet or reside on the campus.· Conduct pre-season camp/program meetings regarding housing, catering, ID, parking, and emergency management.· Provide Web changes and updates of summer programs/camps that are needed on the departmental website.· Utilizes online survey tool to gather parent feedback on programs/camps.· Registers all programs/camps in the Classroom Building Management System (CBMS)· Assists the Events Management staff with events final approvals in the CBMS system.· Schedules campus facilities, prepare program proposals and contracts clients in consultation with the Director.· Assists program client in selecting appropriate dates and coordination of meeting· facilities, lodging, meals, catering, registration and security for campus events.· Coordinates with campus service providers for necessary program support services,· including facilities management, parking, audio-visuals, meals and other related needs.· Develops and maintains program support resources for campus events, including sound,equipment rental companies, florists, etc.· Attend meetings in the absence of the Director.· Participate in budget planning and management as needed.· Manage the online master calendar of events.· Manage the Classroom/Building Management System (CBMS) with regular CBMS Configuration updates.· Assist the Director with creating reports and other documents.· Provide technical support for the university's scheduling system (Master Calendar, EMS and CBMS support calls and emails.· Train university personnel and building managers how to use the CBMS system.· Work in conjunction with the Registrar and/or designee on the input, deletion, modification of classroom spaces in the CBMS.· Coordinate and provide evening and weekend coverage for major events as needed.· Assist external requestors with navigation of the CBMS.· Recruit, plan and assist new clients during the planning phase.· Performs other related duties as requested.Knowledge/Skills/Abilities: Excellent verbal and written communication skills; strong interpersonal and organizational skills. Minimum QualificationsRequires a bachelor's degree, master's degree preferred in a related field of study. A minimum of two to four years of experience in conferences and events planning.
