Apply now.A Brief Summary of This Position:This Individual Contributor position supports the efficient day-to-day operations of the EHS Team by providing excellent customer service and administrative support across all business units. This position requires individual initiative on special projects but works under the direction of the EHS leadership to complete a wide variety of tasks that are part of Valmont’s comprehensive EHS initiatives. Incumbent must exhibit proficiency in Microsoft Office applications and have the ability to plan, organize and execute administrative functions with minimal direction. Incumbent is responsible for performance of general clerical functions, including but not limited to, scheduling of meetings, proofing and editing documents, maintaining databases, processing invoices for payment, and submitting for employee reimbursement. The incumbent must have the ability to work multiple projects, set priorities and recognize confidential information while understanding appropriate dissemination procedures. Plans delivery of and tracks completions of training programs in accident and fire prevention and protection, powered industrial truck, and other employee safety procedures. Prepares and distributes educational materials and information. Lastly, compiles and submits required OSHA log information for internal review.Essential Functions:
This position reports to the Manager of Campus EHS with dotted line accountability to the broader EHS leadership Team
Administers PPE tracking and dissemination ensuring all employees have access to safety eyewear and footwear
Performs general clerical functions, including but not limited to, scheduling of meetings, food, and presentation locations for functional meetings, proofing and editing documents, maintaining databases, processing invoices for payment, employee reimbursements, tracking of budget information and ordering office supplies and setting appointments for senior staff
Administers the campus weather alert system, including but not limited to, program enrollment and basic customer service
Compile and publish reports on injuries, injury rates for various distributions utilizing EHS information management systems as needed
Track and enter employee training records into learning management system
Coordinate monthly health and safety meetings campus wide
Assist in the design and presentation of health and safety training programs to ensure they meet the fundamental requirement of excellence in performance
Modify and update existing health & safety policies and training materials as directed to do so
Ensure the continuing development of a positive health and safety climate for Valley Campus employees
Administers the EHS new employee welcome kit program
Other Important Details about the Role:
Ensures that the Health & Safety SharePoint sites are maintained as an effective means of transferring knowledge to stakeholders
Directs internal stakeholders to the appropriate SharePoint site to access training materials, forms, guidance documents and message boards
Maintains effective document control processes broadly for the EHS team – including records maintained electronically and at off-site locations – in accordance with company records-retention guidelines
Maintains up-to-date, function-specific health & safety contact and e-mail distribution lists for staff
Adds new vendors and maintains data for existing vendors within the IFS Enterprise Resource Planning (ERP) system
Formats, edits and distributes newsletters, tips, and video podcasts as request by EHS staff
Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):
High School diploma and 4+ years of work/educational experience or Associate’s degree
The ability to listen and understand information being presented
Experience prioritizing and managing a large number of different projects to completion
Demonstrated proficiency in using Microsoft Office (Word, Excel, PowerPoint, Outlook and SharePoint)
Effective communication skills to clearly and concisely communicate with a variety of people at all levels
Detail oriented, strong organizational skills, accurate and thorough
Willingness to be a support role within a highly visible function
Ability to work independently and in a team environment
Highly Qualified Candidates Will Also Possess These Qualifications:
Five years of experience in administrative role supporting multiple managers
Customer service orientation
Experience scheduling and supporting training program logistics
Working Environment and Physical Efforts:Work is typically performed in an office setting. The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings. Environment is fast paced and demanding most of the time. No travel requirements for this position. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms while working in the office with various files and forms and while working on the computer. The employee is occasionally required to move about the office. Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height and proper wrists rests. The employee must occasionally lift and/or move up to 15 pounds in working with large files, binders, and computer equipment.
