This position is a key role to coordinate efforts and liaise between the U.S. and Tokyo Head Office in various areas, including the administrative support to the Head of Office of Chief Risk Officer for the Americas, business trip arrangements for Head Office Risk Management leadership and the Chief Risk Officer for the Americas, budget management, payment of expenses, accounting, dual-hat management, internal reporting, as well as administrative support and coordination within the organization.Major Responsibilities:
- Provide administrative support such as scheduling meetings for the Head of Office of Chief Risk Officer for the Americas (“OCROA”).
- Provide support for the following business trip arrangements
2.Tokyo business trip arrangements for Americas Risk Management Managing Directors including the Chief Risk Officer for the Americas
3. Business trips for team members in OCROA
- Manage budget for the team, create memos for payment of expenses, and create accounting documents for internal reporting and financial management
- Conduct periodic updates for registration/management of dual-hat members in Americas Enterprise Risk Management Division.
- Arrange meetings within the organization including Head Office Executives and counterparts such as Corporate Risk Management Division.
- Support onboarding and offboarding administrative tasks for team members.
- Support the team in Japanese/English translation of emails and documents in word, excel, and powerpoint by using Copilot as necessary.
- Refining format of presentation materials in word, excel, and powerpoint
- Be familiar with administrative tasks within the team to improve workplace effectiveness and efficiency.
- Effective coordination with key stakeholders outside the team and transparent reporting to management is part of the responsibility.
- Escalate issues that require management's attention to mitigate execution risks of the above tasks.
- 3–5-year business experience. Banking sector experience preferred
- Detail oriented and organized
- Business level English and Japanese communication skill both in written and verbal manner required
- Basic computer skills (Word, Excel, and Power Point)
