Billing and Dispatch Coordinator

- Maintain and update company profiles in all customer-required 3rd party billing portals (e.g., ServiceChannel, Corrigo, Textura, Ariba, etc.).
- Submit invoices, work orders, and supporting documentation through designated portals within required timeframes.
- Monitor portal dashboards for new work requests, invoice rejections, or compliance notices, and respond promptly.
- Track approval status and follow up on unpaid invoices to ensure timely payment.
- Ensure all billing entries match service tickets, purchase orders, and contract terms.
- Train internal staff on documentation requirements for each platform.
- Receive and process service requests from 3rd party portals and customer contacts.
- Assign work to appropriate technicians based on skill set, availability, and location.
- Communicate work order details and special instructions to field technicians.
- Track job progress and update portals with status notes, completion reports, and required compliance documents.
- Coordinate with service managers to resolve scheduling conflicts or customer escalations.
- Maintain accurate digital and paper records for work orders, invoices, and communications.
- Prepare reports on portal activity, invoice status, and dispatch performance.
- Collaborate with the accounting and service teams to resolve discrepancies.
- Identify opportunities to improve processes and reduce invoice rejections.
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- 2+ years of experience in administrative, billing, or dispatch roles (HVAC or construction industry experience preferred).
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word).
- Experience with 3rd party billing/CMMS platforms strongly preferred.
- Strong attention to detail and accuracy in data entry.
- Excellent organizational, time-management, and communication skills.
- Ability to work independently and manage multiple tasks in a fast-paced environment.
- Full-time, Monday–Friday during standard business hours.
- Primarily office-based, with occasional remote work flexibility.
- Requires regular use of computer and phone.
