The Services Coordinator is responsible for sorting, delivering and processing daily mail to ensure timely internal communication and manages client paper files and archiving.A professional demeanor is essential, as this position collaborates with the Receptionist to provide coverage during lunch breaks and absences. The Services Coordinator will coordinate catering arrangements for Managing Directors' and their guests and some internal meetings as well. This position also serves as a back-up to the Facilities Manager, assisting with broader facility operations as needed.DUTIES & RESPONSIBILITIESProcesses incoming, outgoing and internal mail
Sort and deliver incoming mail to office recipients * Scan incoming faxes to the recipient
  • Process outgoing mail
Reception coverage: daily lunch and absences, including paid-time-off
  • Greet guests, answer phones and set up meetings
  • Manage visitor access and coordinate conference room reservations
Files client documents
  • Compiles, sorts and files client information
  • Scans/profiles documents for easy retrieval from our document management system
Coordinates catering for client, prospect, advisor and internal meetings.
  • Compiles, places orders with the vendor and assists with meeting setup
Performs other duties
  • Maintains kitchens with stocking supplies, running dishwashers, etc.

QUALIFICATIONS:
  • High School diploma
  • General office and filing experience
  • Working knowledge of Microsoft Word, Excel and Outlook
  • Ability to operate general office equipment (copy machines, fax, etc.)
  • Must have a professional demeanor with the utmost respect for confidential matters
  • Must be able to work independently and in a team environment
  • Must have excellent written and verbal communication skills with strong interpersonal skills
  • Must be detail oriented with excellent organizational skills
  • Must have ability to multi-task
  • Must have ability to work in a fast paced environment
  • Must have strong work ethic with a positive attitude
WORKING CONDITIONS:· Long periods of standing· Frequent walking, standing, bending, reaching and repetitive hand movements during mail sorting and delivery· Must be able to lift and push a minimum of 50 lbs.· Extensive use of arms· Professional environment
