- Customer Service:
- Assuring 100% customer satisfaction
- Receiving incoming customer service requests via phone or email promptly in a courteous manner and determining the purpose of the call
- Verifying, creating, or updating customer’s site and billing information in ComputerEase
- Maintaining constant communication with customers about their service status
- Assisting with various marketing and promotional strategies of the company
- Verifying customer satisfaction with follow-up phone calls and assisting in the solution of problems
- Monitoring status and encouraging customers to provide feedback from their service experience
- Monitoring and resolving potential customer issues or complaints
- Scheduling/Dispatch/Technician Support:
- Communicating and working closely with Service Manager and Office Manager maintaining service schedule and dispatch board
- Creating work orders and maintaining service schedule on the dispatch board and assigning work orders to Service Technicians based on workload, technician availability, expertise, and priority of need
- Exporting work orders to Fieldease
- Importing work orders from Fieldease
- Supporting Technicians with issuing POs for needed material or tools to complete service jobs and assisting in monitoring the status of special order items
- Coordinating restocking of service vans with the purchasing manager
- Billing:
- Ensuring customers are properly informed of our rates and terms consistently to ensure collection of payment when work is performed whenever possible
- Ensuring all work orders that are completed and are billed out promptly
- Running proof of billings for the manager
- Payroll:
- Verifying labor hours for service technicians
- Miscellaneous:
- Providing accounting and administrative support for all Service Department related activities
- Providing support to Service Manager and Office Manager for regular technician training
- Coordinating transfer of construction job customers to service customers by coordinating an 11-month walkthrough and fostering a continued relationship

- Have at least 1 year experience as a Dispatcher for an HVAC company
- 1-2 years of relevant experience
- Proficient in providing exceptional customer service, ensuring 100% satisfaction, and addressing inquiries promptly and courteously.
- Skilled in scheduling and dispatch operations, including creating and managing work orders, coordinating with technicians, and utilizing software systems for efficient workflow.
- Experienced in billing procedures, including informing customers of rates/terms, managing completed work orders, and facilitating timely billing processes.
- Capable of providing administrative support, including verifying labor hours, managing miscellaneous tasks, and supporting managerial functions such as technician training and customer relationship management.
- Must be authorized to work in the US.
