General Summary:The Member Service Associate position is responsible for greeting and screening visitors and processing payments for services. This position receives and records customer payments via mail, over the phone, in-person, and online, including scanning and bank transactions, etc. Performs a wide variety of office duties and administrative activities. Supports staff and department heads for projects. Effectively uses all appropriate office equipment, including desktop computer to perform routine and recurrent tasks without close supervision.Essential Job Functions:
  • Handles disconnect and reconnects of services of customers with late payments.
  • Performs collection functions on delinquent accounts.
  • Ensures the protection of the privacy of information contained in member accounts.
  • Provides customer service by assisting customers with payments, payment plans or auto pay set up.
  • Operate 10-key calculators, computer, and copy machines to perform calculations and produce documents.
  • Perform general office duties such as filing, answering telephones, and handling routine correspondence.
  • Prepares a variety of reports, correspondence, and presentations by typing and formatting documents using word processing, database, spreadsheet, and graphics programs.
  • Operate computers programmed with accounting software to record, store, and analyze information.
  • Comply with federal, state, and company policies, procedures, and regulations.
  • Coordinates office supply inventory by tracking supply usage and ordering supplies as needed.
  • Supports all staff and department heads for special projects and/or events.
  • Reconcile or note and report discrepancies found in records.
  • Match order forms with billing statements and record the necessary information.
  • Receive, record, and bank cash, checks, and vouchers.
  • Prepare bank deposits by compiling data from cashiers, verifying, and balancing receipts, and sending cash, checks, or other forms of payment to banks.
  • Pick up and distribute mail, maintain postage funds, complete updates to the postage meter, order postage supplies and process daily mail.
  • Must be able to work on-site at a Golden West designated reporting location.
Other Responsibilities:
  • Performs all other related duties as assigned by Management.
Knowledge, Skills & Abilities:
  • Working knowledge of basic accounting principles and practices.
  • Ability to analyze volumes of data and identifying problems/errors, and ability to correct or resolve them.
  • Knowledge of Company services/products, policies, and procedures.
  • Knowledge of general office procedures, practices, and equipment.
  • Ability to adapt in a rapidly changing environment.
  • Ability to operate various office equipment including computer and related software.
  • Ability to communicate well with customers, co-workers, and various business contacts in a positive and friendly manner, both orally and in writing.
  • Ability to prioritize and multi-task. Must be well organized and pay close attention to detail and accept responsibility for and work under occasional stress situations with frequent interruptions.
  • Ability to demonstrate dependability through good attendance and adherence to timelines and schedules.
  • Ability to maintain strict confidentiality guidelines in accordance with Company policy.
  • Ability to read and interpret a variety of instructions furnished written, verbal and in diagram or schedule form.
  • Ability to work independently and maintain efficient workflow.
  • Ability to effectively function as a team player and project a positive attitude.
  • Ability to make decisions in accordance with established Company policies and procedures.
  • Working ability to sit for long periods of time processing payments and entering data at a computer.
